Connecting and disconnecting Google and QuickBooks
Who can connect an account, what each permission is for, and how to disconnect one.
Who can connect an account
Only an owner of your business, signed in to their own account. A member of your team cannot connect or disconnect an account. Your operator can see which accounts are connected and can disconnect one, because removing access only ever reduces what the product may do, but cannot connect one: granting access to your business's own Google or QuickBooks account is the owner's to do.
There is no connect link to be emailed or shared. Connecting always starts from a click inside the app, while you are signed in.
Connecting
- Sign in and open the Setup tab. It appears while something required on your setup checklist is left to do.
- Under Connect your accounts, choose Connect beside Google Workspace or QuickBooks.
- You are taken to Google's or Intuit's own consent screen. Read what it asks for, and agree if you are happy to.
- You are brought back to the checklist, which shows the account as connected, which address it is connected as where the provider tells us, and who connected it and when.
If the connection did not go through, the checklist says so, and you can try again. If an account is connected to the wrong login, choose Reconnect and sign in with the right one.
What Google is asked for, and why
These are the exact permissions requested from Google Workspace. Each one is read-only except sending, and sending happens only after a message has been authorised.
Read recent email in the connected mailbox
https://www.googleapis.com/auth/gmail.readonly
To read the recent messages exchanged with one customer or lead before drafting a reply to them, so the draft follows the conversation instead of starting it over. Each read is a search for correspondence with a single address and is capped at a handful of recent messages — the product never copies or indexes a whole mailbox.
Send a message you have approved
https://www.googleapis.com/auth/gmail.send
To send the reply after someone on your team has read it and pressed approve. Nothing is ever sent on its own: a message cannot reach this scope without an approval recorded against a signed-in person at your business.
Read upcoming events on the connected calendar
https://www.googleapis.com/auth/calendar.events.readonly
To see what is booked in the days ahead, so the weekly brief can tell you what is coming and an appointment reminder can be addressed to the right person. Read-only, forward-looking, and limited to the primary calendar — the product never creates, edits or cancels an event.
What QuickBooks is asked for, and why
QuickBooks Online offers one permission for its accounting data.
Read your invoices, estimates, payments and customers
com.intuit.quickbooks.accounting
To see which invoices are outstanding and how far past due they are, so an overdue-invoice reminder can be drafted for the right customer with the right figures. QuickBooks Online offers a single accounting scope with no read-only variant, so the read-only guarantee is in our code: this connector issues nothing but queries and implements no method that could write to your books.
Disconnecting
- Open your accounts. While setup is still under way, that is the Setup tab. Once setup is complete, open the Profile tab and choose Manage connected accounts under Connected accounts.
- Find the account under Connect your accounts.
- Choose Disconnect, read the confirmation, and choose Yes, disconnect.
Disconnecting withdraws access and stops every job that reads from that account until you connect it again. New Homestead also asks Google or Intuit to revoke the authorisation, rather than only forgetting it on our side.
If the provider refuses the revocation, nothing is changed and you are told so. You can try again a little later, or remove the stored credential anyway and then withdraw the authorisation yourself on the provider's own page: Google account permissions or Intuit connected apps.
If the Setup tab is not showing
The Setup tab steps out of the way once everything required on the checklist is done. Your accounts are still there: an owner can open the Profile tab and choose Manage connected accounts to see them, reconnect one, or disconnect one. A member of your team does not see that link, because only an owner can connect or disconnect an account.
Your operator can also disconnect an account for you whenever you ask; they can remove access, but they can never connect an account for you. Anything they do is recorded in your own done trail.
